About the Conference
NASPA, Student Affairs Administrators in Higher Education, and EucA, European university college Association, invite you to the seventh annual European Conference for Student Affairs and Services (ECSAS) to be held in Porto, Portugal on Wednesday 12 November through Friday 14 November 2025.
The ECSAS conference provides a platform for student affairs professionals, academics, researchers, and practitioners to discuss innovative programmes, practices, models and trends in student affairs to advance their mission in supporting student success.
ECSAS Conference Planning Committee
The 2025 European Conference for Student Affairs and Services (ECSAS) Conference Planning Committee (CPC) is responsible for supporting the creation and execution of the conference experience by leveraging their expertise and lens. Registration for the European Conference for Student Affairs and Services
If you are not a current NASPA member, please create a free NASPA profile to complete your registration. EucA members will need to create a free NASPA profile to register.
Registration as a member is based on individual membership status at the time of the event. If your current NASPA or EucA membership will expire prior to the event, you will have the option to renew at the time of registration to receive the member rate.
If you are not a current NASPA or EucA member and are employed by a college or university that is an institutional member, you can join as a professional affiliate member for $80. If your institution is NOT a member, you can join as an associate affiliate member for $250 or an international affiliate member for $80. Both membership types provide access to the individual member rate for the event. Please visit the membership section of the NASPA website to learn more about membership types and benefits. ECSAS Registration Policies
Registration Cancellation Policy:
Cancellation/refund deadline less a $50.00 administrative fee is September 15, 2025. This program may be canceled or postponed due to unforeseen circumstances. In this case, fees will be refunded; however, NASPA will not be responsible for additional costs, charges, or expenses, including cancellation/change charges assessed by airlines, hotels, and/or travel agencies. NASPA is not responsible for weather or travel related problems and will not reimburse registration fees for these issues. Please click here to submit a refund request. Refunds will not be processed after September 15, 2025 for any reason.
Please note refunds could take up to 30 days for processing. To inquire about the status of a refund after 15 business days, please send an email to refund@naspa.org.

The registration rate displayed is based on your current individual membership status.
Substitutions: Substitutions are allowed by individuals within the same institution/company with the same member type. Non-members must have a NASPA profile and NASPA ID# on file before submitting a request. Click here to create a NASPA profile. To submit a substitution request, send an email to refund@naspa.org. Be sure to include the substitution's full name and email address within the request.

ECSAS Group Registration
To receive one invoice for multiple registrations, you must complete all fields in this group registration form. Please note that we can only offer a single invoice for groups between six and ten registrants from a single institution or organization. Groups of five or fewer must register separately and will receive individual invoices. Groups of eleven or more will need to submit multiple copies of the form linked above. For example: If an institution aims to register 17 staff members; 1-10 will be submitted through the form and 11-17 will be submitted through the same form separately.
People who have already registered outside of the group cannot be added to the group registration and will have to pay for their registrations separately. No refunds will be given to individuals who completed their registrations separately and now desire to be added to a group invoice.

Global Health, Safety, and Responsibility
Event Safety During Ongoing Public Health Emergencies
With ongoing public health emergencies, NASPA is prepared to manage our place-based events with the health, safety, and well-being of our attendees, staff, presenters, exhibitors, sponsors, and speakers in mind. All participants, including, but not limited to, attendees, speakers, sponsors, volunteers, NASPA staff, service providers, and others are expected to abide by our code of conduct and all polices in effect for any event sponsored by the Association.
We will continue to monitor and update safety precautions for all of our conferences regularly and coordinate with trusted national resources, state and local public health agencies, and the hotels/venues hosting our events.
In all cases, we will continue to assess the risks in the area local to the event and the current status in the United States. In keeping with the Association's duty of care and the responsibility as host, NASPA has implemented safety requirements for many of our place-based convenings.
We reserve the right to modify these policies and procedures at any time given the rapidly changing nature of any current and ongoing public health emergencies.

The ECSAS Conference Committee has selected the Sheraton Porto Hotel & Spa as our conference hotel and conference location for our event this year. It is HIGHLY encouraged that you register for the conference and reserve your hotel accommodations as soon as possible to take full advantage of the lower registration rate and discounted hotel accommodations. Space is limited and we are not providing a conference shuttle for the event so we HIGHLY recommend you book your hotel accommodations onsite at the Malta Marriott Resort and Spa.

Call for Proposals
The 2025 European Conference for Student Affairs and Services planning committee invites program proposals from higher education professionals who are part of the essential systems addressing college student experiences. The conference planning committees encourage program proposals regarding proven practices with content that will engage participants in fruitful discussions and provide meaningful content to bring back to their campuses. Interested individuals should submit a proposal form electronically. The proposal should be a detailed outline of their proposed session and a set of learning outcomes for attendees that connect to the conference tracks.
All presenters must register to attend the 2025 European Conference for Student Affairs and Services in-person.
There will not be any virtual presentation opportunities.
Proposals will be evaluated by several program reviewers using the following five standards
Significant and creative contributions to the student affairs profession.
Engaging program format that involves the audience and stimulates discussion.
Conceptually strong foundation, well-written, with clearly stated outcomes and appropriately documented research and/or experience.
Qualified presenters with expertise in the subject matter.
Thematically relevant program content incorporating the conference focus area(s) into the program.

This track is dedicated to advancing well-being for students and the professionals who support them. Recognizing the evolving landscape of student needs, we spotlight inclusive strategies, preventative care, and creative solutions that promote mental, emotional, and social health across campus communities.

Sessions will explore how institutions can realign expectations, foster integration, and support every student’s journey.

Successful Proposals
Program reviewers rely on a well-written description to enhance their understanding of the content and goals of the presentation. The conference planning committees encourage program proposals with proven practices and content that will engage participants in fruitful discussions and provide meaningful content to bring back to their campuses.
Successful proposals should include:
- Lengthy description about session content that you will present.
- Relationship of the program to the conference themes outlined below in 'Conference Themes & Learning Outcomes'
- Identification of the program format (e.g., lecture, panel, roundtable) including methods for participant involvement (e.g., discussion, effective practice sharing, case study analysis).
- Discussions of replicability: to what extent can the information presented in this program be replicated at other institutions?
- Evidence of the conceptual foundation for proposal content including ways the program content is grounded in research, relevant experience, a cogent model, or appropriate theory.
- Program proposals should establish a clear connection to the research, framework, model, or theory included in their discussions.
- A list of references to relevant research, models, or theory must be listed in the "References" section.
